Overview

Under general supervision, the purpose of this position is to perform school-based duties associated with entering data and providing clerical support to guidance personnel and administration. Employees in this classification perform routine clerical functions in the form of entering student data on the district software system, analyzing reports, maintaining student attendance/records, and serving as a backup for other front office personnel. Employees also perform special projects for administration. Performs related work as directed.

Responsibilities and Qualifications


EXAMPLES OF ESSENTIAL FUNCTIONS
Responds to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light.

Enters student data into a computer system consisting of demographics, immunizations, scheduling, discipline, and teacher information.

Assists with FTE process; consults FTE manual and applies policies and procedures; analyzes, evaluates, and edits FTE reports; makes recommendations to principal and other school administrators.

May serve as an assistant to the ESE placement specialist; type weekly agendas and distribute; analyze and edit discrepancies.

Serves as a backup to the Registrar, Secondary or other administrative support personnel; prepares and distributes master schedule.

Assists, as needed, in providing clerical support to the Principal; analyzes and edits class rolls; makes recommendations to administration, and performs special projects, as assigned.

Writes and prepares correspondence and follow-up letters with parents regarding immunizations, address verification; mails letters as required.

Maintains student records and files.

Operates a computer to enter, retrieve, review, or modify data; utilizes word processing, database, and software programs applicable to their functional area.

Operates a variety of machinery, equipment, and tools associated with department activities, which may include a typewriter, copy machine, or fax.

Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS. With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position.

Responsible for timely and accurate information they maintain as part of their job responsibilities.

MARGINAL FUNCTIONS

MINIMUM TRAINING AND EXPERIENCE
High school diploma or GED; supplemented by a minimum one year previous experience and/or training in clerical work and recordkeeping, or any equivalent combination of related education, training and experience which provides the required knowledge, skills and abilities to perform the essential job functions.

PERFORMANCE APTITUDES

Data Utilization: Requires the ability to calculate, compute, summate, and/or tabulate data and/or information. Includes performing subsequent actions in relation to these computational operations.

Human Interaction: Requires the ability to exchange information for the purpose of obtaining information or clarifying details. Performs such within well-established policies, procedures and standards.

Equipment, Machinery, Tools, and Materials Utilization: Requires the ability to operate, maneuver and/or control the actions of equipment, machinery, tools, and/or materials used in performing essential functions.

Verbal Aptitude: Requires the ability to utilize a wide variety of reference and descriptive data and information.


Mathematical Aptitude
: Requires the ability to perform addition, subtraction, multiplication, and division.

Functional Reasoning: Requires ability to carry out instructions furnished in written, oral, or diagrammatic form. Involves semi-routine standardized work with some latitude for independent judgment concerning choices of action.

Situational Reasoning: Requires the ability to exercise the judgment, decisiveness and creativity in situations involving a variety of generally pre-defined duties which are often characterized by frequent change.

ADA COMPLIANCE

Physical Ability: Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds) and occasionally 20 to 50 pounds of weight. Tasks may involve extended periods of time at a keyboard or workstation.

Sensory Requirements: Some tasks require visual perception and discrimination. Some tasks require oral communications ability.

Environmental Factors: Tasks are regularly performed without exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, violence, disease, or pathogenic substances.
