Under general direction, the purpose of the position is to perform district and school-based duties associated with program coordination. Duties will be associated with the Management and Emerging Leadership Academies, recruitment activities, and other HR programs offered through Human Resources. Employees in this classification function at an assistant level capacity and provide guidance, maintain records, and verify adherence to current federal and state laws, state board rules, and school board policies. This position also performs related work as directed.
EXAMPLES OF ESSENTIAL FUNCTIONS
Respond to internal and external customers in a timely, accurate, courteous, and empathetic manner representing OCPS in a positive light.
Serve as the district liaison in recruiting for our internal leadership academies. Update and maintain applications, prescreen qualifications, organize documentation for review and participate in selection process. Communicate program details with applicant and provide support and answer questions as needed.
Coordinate the components, guidelines, and classes for the Management and Emerging Leadership Academies, recruitment related events/activities and other HR programs, respectively. Provide guidance to employees as it relates to program acceptance and personal professional development.
Update, maintain, and submit plans for the individual academies by cohort yearly to Administrator in line with the district’s leadership goals and objectives.
Plan, schedule, and organize events and other activities associated with the leadership academies including monthly training, technical support, and graduation. Keep an accurate, up-to-date schedule of all in-service offerings and program requirements.
Facilitate orientation and informational sessions for district managers, administrators, and classified staff; produce and provide visual materials, presentations, and handouts. Schedule and conduct group and one-on-one instructional sessions with personnel as requested or as needed.
Create and update program related reports which may include surveys, participation statistics, and associated data. Analyze, review, and share individual feedback from training surveys to guide overall effectiveness and participant satisfaction.
Gather and process participant information. Prepare associated reports and attendance to assure compliance; formulate attached documentation as a guide to administrators and provide monthly board updates to Administrator.
Handle budget(s). Process all purchase orders, invoices, and inventory for the Leadership Academies. Reconcile charges and track information.
Schedule, communicate and host monthly New Manager Orientation classes to include organization of the agenda and communication with department leaders. Plan, communicate and organize monthly face-to-face mandatory trainings for all non-school based new administrators as assigned by executive leadership. Keep up to date databases and utilize Canvas for sign up schedules, reminders, and evaluations upon completion of coursework.
Follow federal and current state laws, state board rules, and school board policies as they relate to programs implemented; analyze and verify individual files for adherence.
Respond to telephone calls and emails; answer questions pertaining to the various programs or forward to appropriate area as needed. Prepare associated correspondence, memos, reports, and other documents. Maintain daily logs.
Support the Human Resource Department with HR Projects; such as: non-instructional career fairs, workshops, training development, and instruction.
Assists the department in planning, coordinating, and organizing recruiting events; places advertisements in various social media platforms as directed.
Promote OCPS as an employer through social media platforms; remain current on social media trends, tools, and best practices.
Operate a computer to enter, retrieve, review, or modify data; utilize word processing, database, and software programs.
Operate a variety of machinery, equipment, and tools associated with department activities, which may include a laminator, copy machine, or fax.
Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS. With the support of the district, attend training to ensure skill level in various technologies is at the level required to perform in current position.
Responsible for timely and accurate information they maintain as part of their job responsibilities.

MINIMUM TRAINING AND EXPERIENCE
Associate degree from an accredited institution in related field and two (2) years of experience facilitating programs to a variety of groups on a variety of media platforms; or any equivalent combination of related education, training and/or experience which provides the required knowledge, skills and abilities to perform the essential job functions. Must possess strong organizational, interpersonal, and communication skills. Experience handling budget(s) and creating shopping carts preferred. Experience using PowerPoint and/or Word required.

ADA COMPLIANCE
Physical Ability: Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or workstation.
Sensory Requirements: Some tasks require visual perception and discrimination. Some tasks require oral communications ability.
