Under direct supervision, the purpose of this position is to perform duties associated with the day to day operations of the financial aid office. Provides assistance to the Financial Aid Coordinator with regard to financial aid regulations or decisions. . Employees in this classification function in an administrative support capacity working with databases, spreadsheets, and financial aid documents. Performs related work as directed.
EXAMPLES OF ESSENTIAL FUNCTIONS
Responds to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light.
Provides information to students and parents regarding grants, scholarships, Veteran’s Educational Benefits, the financial aid process and makes referrals to Federal and State agencies, which may provide financial and/or educational training assistance.
Collects and compiles personal financial documentation from students/parents selected for verification and provides assistance in completing the verification process.
Maintains databases and Excel spreadsheets to generate check list for instructors as notification of students requiring monthly time sheets and term progress reports including deadlines for submitting forms to financial aid; updates checklist and notifies instructors, as needed.
Reviews income tax returns, social security documents, cash assistance and other financial materials to determine accuracy of application and eligibility status.
Enters FAFSA application data and SAR corrections into the federal database using USDOE EDExpress software; transmits applications and corrections and retrieves needs analysis using USDOE EDConnect software.
Reviews SAR results with applicants and counsels students on policies and procedures for receiving and maintaining financial assistance.
Communicates with students, and parents to resolve problems and answer questions.
Prepares vouchers for payment of classes, books, uniforms or supplies.
Receives monthly time sheets and term progress reports; posts to spreadsheet; reviews and verifies hours with students’ schedule; communicates with instructors for clarification and/or resolution of any discrepancies.
Reviews and updates student information provided in CICS to ensure accuracy.
Assists in gathering student information for the Crystal Reports and NSLDS reports.
Maintains adequate supply of materials, supplies and publications; orders FAFSA applications and publications for distribution; prepares requisitions for office supplies and materials as well as request work orders for office equipment.
Prepares all correspondence for the Financial Aid Office, answers and returns phone calls and answers routine questions or concerns and resolves issues.
Assists in training new staff members.
Performs various routine office duties such as filing and faxing documents, as needed.
Operates a computer to enter, retrieve, review, or modify data; utilizes word processing, database, and software programs.
Operates a variety of machinery, equipment, and tools associated with department activities, which may include a typewriter, postage machine, or fax.
Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS. With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position.
Responsible for timely and accurate information they maintain as part of their job responsibilities.

MINIMUM TRAINING AND EXPERIENCE
High school diploma or GED; supplemented by up to two (2) years minimum previous experience and/or training involving clerical or secretarial work, or any equivalent combination of related education, training and experience which provides the required knowledge, skills and abilities to perform the essential job functions.

Physical Ability: Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station.
