Under general direction, the purpose of the position is to perform district and school-based duties associated with program coordination. Duties will be associated with supporting the OCPS strategic plan and programs offered through the Professional Learning Department. Employees in this classification function at an assistant level capacity and provide guidance, maintain records, and verify adherence to current state laws, state board rules, and school board policies. This position also provides guidelines for school-based professional learning and parent and family engagement. Performs related work as directed.
EXAMPLES OF ESSENTIAL FUNCTIONS
Responds to internal and external customers in a timely, accurate, courteous and empathetic manner, representing OCPS in a positive light.
Supports all scheduled professional learning department initiatives and events, both on-site and off-site, flexing hours as necessary.
Utilizes available district software to maintain documentation of department functions and activities.
Operates a computer to enter, retrieve, review, and/or modify data; utilizes word processing, database, and software programs including but not limited to: Outlook, SAP, Excel, Canvas, Google Suite, Qualtrics, Microsoft Teams, WebEx, Room Resource Manager, and Google Chrome and Internet Explorer web browsers.
Updates, maintains, and submits documentation for pertinent entities (for example: the Department of Education and Orange County Public Schools Certification Department).
Creates and maintains a database of employees related to department initiatives, including tracking attendance at trainings.
Maintains an accurate and up-to-date record and directory of all offerings and completed components for Professional Learning Department and district leadership initiatives.
Supports administrators and staff with department initiatives and related programs.
Assists the department in planning, coordinating, scheduling, organizing, and implementing events and professional learning.
Investigates and answers questions pertaining to district professional learning and other department initiatives.
Prepares guidelines for implementation of program related projects.
Types and prepares correspondence, memos, reports, and other documents using proper grammar, mechanics, and conventions, spelling, and formatting.
Maintains open communication with all stakeholders on all planned engagement activities.
Analyzes and verifies individual files for adherence to current state laws, state board rules, and school board policies.
Prepares, reviews, and monitors reports related to district professional learning and Parent and Family Engagement processes and content. Shares with supervisors and/or internal/external stakeholders, as necessary. Maintains accurate hard copy and electronic files to ensure compliance with current state laws, state board rules, and school board policies.
Provides relevant information to district managers and administrators, produces visual materials and handouts to support Professional Learning Department and department initiatives.
Provides technical support for training and training rooms.
Schedules, coordinates and maintains resources and records for professional learning and department events.
Responds to telephone calls and emails, investigating and answering questions pertaining to Professional Learning Department initiatives and functions. Keeps supervisor informed of current critical issues and incidents about which they should be aware.
Prepares and maintains payroll reporting as needed.
Provides support for other staff positions within the department as needed.
Facilitates the purchasing of resources and products necessary to reach OCPS goals and expected outcomes.
Operates a variety of machinery, equipment, and tools associated with department activities, which may include a laminator, copy machine, or fax.
Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS. With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position.
Responsible for timely and accurate information maintained as part of the job responsibilities.

MINIMUM TRAINING AND EXPERIENCE
Associates Degree from an accredited institution supplemented by vocational training in related field and one year previous experience and/or training in an instructional capacity, program management, or any equivalent combination of related education, training and/or experience which provides the required knowledge, skills and abilities to perform the essential job functions.

ADA COMPLIANCE
Physical Ability: Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station.
Sensory Requirements: Some tasks require visual perception and discrimination. Some tasks require oral communications ability.
