Under direction of the Senior Manager of Events and Engagement, the purpose of the position is to perform program management for District Foundation’s fundraising and other events. Employees in this classification function at an assistant level capacity and provide guidance, maintain records, and verify adherence to current state laws, state board rules, and School Board and Foundation policies. Performs related work as directed.
EXAMPLES OF ESSENTIAL FUNCTIONS
Responds to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light.
Plans, coordinates and executes District Foundation events, including (but not limited to) Fore Our Schools golf tournament, School Spirit Run, and Top Talent LIVE.
Researches, coordinates and distributes event-related information to schools and principals, including (but not limited to) School Spirit Run teams and prize winners, Top Talent finalists, and key event information.
Tracks event sponsorships to ensure timely payment as well as prompt delivery of stewardship benefits.
Assists with the development of fund-raising strategies and initiatives.
Support Foundation event committees by preparing and distributing key materials, coordinating meetings from scheduling to setup and breakdown, and recording accurate minutes.
Coordinates prospect meetings for Senior Manager of Events and Engagement, from scheduling to creating and preparing support materials.
Must be familiar with current state laws, state board rules and School Board and Foundation policies as they relate to programs.
Creates and updates program-related reports which may include but are not limited to invoices, expense reports, guest lists, scoring analyses, and more.
Organizes, reviews and processes applications for Top Talent LIVE and other events with a competition element, including assessing participation eligibility.
Establishes detailed event budgets, forecasts cost, negotiates contracts and facilitates payment for services
Creates promotional and stewardship materials for events, participants, and sponsors.
Advises Top Talent LIVE participants on submission of auditions.
Schedules groups and/or one-on-one. informational sessions to Foundation Board members, district managers and administrators; produces visual materials and handouts.
Types and prepares correspondence, memos, reports, and other documents.
Operates a computer to enter, retrieve, review, or modify data; utilizes word processing, database, and software programs.
Operates a variety of machinery, equipment, and tools associated with department activities, which may include a laminator, copy machine, or fax.
Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS. With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position.
Responsible for timely and accurate information they maintain as part of their job responsibilities.

MINIMUM TRAINING AND EXPERIENCE
Associates Degree supplemented by vocational training in related field supplemented by a minimum of five (5) years’ previous experience and/or training in events management, program management, or any equivalent combination of related education, training and experience which provides the required knowledge, skills and abilities to perform the essential job functions. Nonprofit event management experience preferred. Marketing experience a plus,

ADA COMPLIANCE
Physical Ability: Tasks involve the ability to exert very moderate physical effort in light work, typically involving some combination of stooping, kneeling, crouching and crawling and which may involve some lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (12-20 pounds).
Sensory Requirements: Some tasks require visual perception and discrimination. Some tasks require oral communications ability.
Environmental Factors: Tasks are regularly performed without exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, violence, disease, or pathogenic substances.
