Overview

Under general supervision, the purpose of the position is to perform district-based duties associated with processing complex financial, accounting, and/or payroll related records. Employees may serve as district contact for rental of school facilities. Performs related work as directed.

Responsibilities and Qualifications

EXAMPLES OF ESSENTIAL FUNCTIONS
Responds to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light.

Performs manual calculation of paychecks.

Prepares payroll for department as needed; inputs payroll data; creates and maintains electronic payroll files.

Performs weekly edit of paychecks to ensure accuracy prior to printing of paychecks.

Handles direct deposit transactions and payroll problems.

Calculate eleventh day pay for substitute teachers.

Meeting and assisting employees with payroll problems.

Determines the appropriate ledger accounts; reviews and stamps checks in order to prepare them for deposit.

Journalizes on-line all deposits after the validated slips return from bank; journalizes on-line all entries created by cash management; journalizes on-line all entries generated by accounts payable.

Serves as district contact for rental of school facilities; verifies accuracy of charges on facility use agreements on rentals at school sites; analyzes charges and codes for journal entries.

Verifies listings and amounts on daily receipts register; signs off on register and passes on with prepared checks.

Prepares journal and budget entries.

Verifies accuracy of reports for vocational charges and fees; analyzes charges and codes for journal entries.

Receives and reviews printouts of fingerprinting and drug testing charges; reconciles charges to monthly checks for fingerprinting/background and drug testing checks issued by the district.

Orders deposit tickets for master bank accounts and for individual schools on lunchroom accounts.

Verifies amount received from parking at arena events; enters data for parking garage spreadsheets on computer; reconciles amount with quarterly check from the city of Orlando.

Creates and reconciles spreadsheets on various topics at the request of the Director of Finance.

Originates and enters journal entries for corrections and chargebacks; files and books all journal entries; repackages, boxes, and sends journal entries from previous year to warehouse at end of each fiscal year.

Provides materials and information to auditors during audits.

Operates a computer to enter, retrieve, review, or modify data; utilizes word processing, database, and software programs.

Operates a variety of machinery, equipment, and tools associated with department activities, which may include a typewriter, adding machine, or fax.

Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS. With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position.

Responsible for timely and accurate information they maintain as part of their job responsibilities.

MINIMUM TRAINING AND EXPERIENCE
High school diploma or GED; supplemented by college level course work or vocational training in math or accounting; supplemented by up to three (3) years minimum previous experience and/or training involving secretarial work or bookkeeping, or any equivalent combination of related education, training and experience which provides the required knowledge, skills and abilities to perform the essential job functions.

Includes exercising discretion in determining data classification, and in referencing such analysis to established standards for the purpose of recognizing actual or probable interactive effects and relationships.

Equipment, Machinery, Tools, and Materials Utilization: Requires the ability to operate, maneuver and/or control the actions of equipment, machinery, tools, and/or materials used in performing essential functions.

Verbal Aptitude: Requires the ability to utilize a wide variety of reference, descriptive, and/or advisory data and information.

Mathematical Aptitude: Requires the ability to perform addition, subtraction, multiplication, and division; ability to calculate decimals and percentages; may require ability to utilize principles of fractions and/or interpret graphs.

Functional Reasoning: Requires ability to apply principles of rational systems. Ability to interpret instructions furnished in written, oral, diagrammatic, or schedule form. Ability to exercise independent judgment to adopt or modify methods and standards to meet variations in assigned objectives.

Situational Reasoning: Requires the ability to exercise the judgment, decisiveness and creativity required in situations involving evaluation of information against measurable or verifiable criteria.

ADA COMPLIANCE

Physical Ability: Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station.

Sensory Requirements: Some tasks require visual perception and discrimination. Some tasks require oral communications ability. Some tasks require the ability to perceive and discriminate sounds.

Environmental Factors: Tasks are regularly performed without exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, violence, disease, or pathogenic substances.
