Overview

Under administrative direction, the purpose of this position is to perform administrative and lead duties overseeing subordinate personnel in the location and provision of parts, supplies and components to district automotive/equipment mechanics and transportation personnel. Employees in this classification have extensive knowledge and experience in inventory management and inventory tracking and are capable of performing highly complex tasks to include identifying interchangeable parts and components, cost comparison to maximize cost efficiency, and document, process and track manufacturer warranty claims. Position oversees inventory tracking to maintain adequate levels of parts and supplies required for efficient productivity. Position is responsible for providing information on parts availability and projected requirements and resolving backorder issues, as needed.

Responsibilities and Qualifications

EXAMPLES OF ESSENTIAL FUNCTIONS

Responds to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light.

Assists in the management of the parts department by monitoring work flow, expenditures, developing plans and schedules, and formulating standard policies and procedures.

Reviews inventory levels and is responsible for coordinating the process of ordering and receiving parts to keep the districts parts rooms adequately stocked.

Reviews and processes purchase requisitions for the parts department.

Ensures that all parts purchasing will be done following the processes defined by the Procurement Department and OCPS guidelines and bids.

Monitors part usage and stock to determine proper stock levels to insure the maintaining of cost effective and efficient part storage.

Oversees the inventory control process through audits to comply with the county and the Florida Department of Education inventory control policies.

Coordinates all training and auditing to ensure the proper and timely manner in the processing, documenting and tracking of manufacturer warranty claims.

Works with parts department personnel, along with other OCPS departments to correct invoice and budget issues pertaining to the ordering of parts and payments for services.

Reviews and/or prepares various records, logs and reports applicable to Fleet Services, i.e., purchase orders and invoices, cost estimates, material requests and inventory reports.

Reviews and/or assists in preparation of contracts and/or bids and associated specifications for vendors, contractors and/or service providers.

Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS. With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position.

Responsible for timely and accurate information they maintain as part of their job responsibilities.

MINIMUM TRAINING AND EXPERIENCE
Associate’s degree in business, logistics or closely related field preferred; supplemented by a minimum 5 years of previous experience and/or training in a warehouse or business environment with direct knowledge of accepted industry-wide material purchasing and inventory control practices. Knowledge of SAP software as relating to purchasing, receiving, inventory management and budget practices. Ability to plan, organize, communicate clearly and supervise the work of others.

Mathematical Aptitude: Requires the ability to perform addition, subtraction, multiplication, and division; ability to calculate decimals and percentages; may require ability to utilize principles of fractions and/or interpret graphs.

Functional Reasoning: Requires ability to apply principles of rational systems. Ability to interpret instructions furnished in written, oral, diagrammatic, or schedule form. Ability to exercise independent judgment to adopt or modify methods and standards to meet variations in assigned objectives.

Situational Reasoning: Requires the ability to exercise the judgment, decisiveness and creativity required in situations involving the evaluation of information against sensory, judgmental, or subjective criteria, as opposed to that which is clearly measurable or verifiable.

ADA COMPLIANCE

Physical Ability: Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station.

Sensory Requirements: Some tasks require visual perception and discrimination. Some tasks require oral communications ability.

Environmental Factors: Tasks are regularly performed without exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, violence, disease, or pathogenic substances.
