Under general direction, the purpose of this position is to perform district-based duties associated with processing business and other operational records. Some analysis of solutions to situations is necessary to complete work; department resource for procedural direction for support staff. Employees will also perform a variety of specific duties including tracking position data, maintaining Transportation organizational structures, preparing cost analysis and other various reports for the Business Services Team. This position is that of a team leader or of a position that utilizes a narrowly defined area of technical expertise in the transportation Business services area. Employees in this classification are responsible for receiving and responding to inquiries from the public and assisting staff with required paper work. Performs related work as directed.
EXAMPLES OF ESSENTIAL FUNCTIONS
Responds to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light.
Coordinates workload and schedules of clerical support staff when necessary for vacations, lunch time etc.
Performs various technical and administrative duties in supporting daily district transportation activities.
Receives and responds to public information requests, complaints or inquiries; provides resolution or directs to appropriate entity.
Advises workgroup of departmental policies and procedures.
Provides guidance and trains employees in workgroup.
Monitors and tracks transportation indicators utilizing SAP reports and spreadsheets (e.g., turnover, vacancy rates, absentee rates, apply to hire timeframes, retirements, etc.).
Validates and maintains the organization structure in the SAP portal to ensure team alignment accuracy.
Sets up new employee records in SAP for Kronos andMVRs (Motor Vehicle Records) and makes adjustments as needed to ensure accuracy and the ability to query certain criteria as needed.
Communicates, tracks, and processes position changes validating open and filed positions numbers based on department allocation.
Supports Individuals with Disabilities Education Act (IDEA) project for Transportation; trains/assists monitors with personnel activity reports and makes monitor position changes as needed.
Processes and tracks certified mailing of annual evaluations, reclassifications, and other necessary documents.
Maintains and edits Transportation OTETA list in SAP for random drug testing.
Diagnoses, tracks and solves hardware and software problems providing technical support, as needed (e.g. resets passwords, assists with completing online processes and forms).
Researches and conducts analysis of data to prepare district-level reports for the State Department of Education and other similar entities. Calculates and compiles statistical information pertaining to Individuals with Disabilities Education Act (IDEA).
Performs less routine clerical duties as needed.
Provides backup for other staff positions within the department.
Monitors the use of the copy machine, fax machines, printers, and other office equipment; may call for routine maintenance and repairs.
May be responsible for contacting the district’s worker's compensation offices to schedule light duty workers and coordinate the logistics.
May assist with basic Family Medical Leave Act (FMLA) related needs (e.g., paperwork completion; coordination of schedules; coverage of duties).
May prepare travel arrangements for staff and administrators.
Operates a computer to enter, retrieve, review, or modify data; utilizes word processing, database, and software programs.
Operates a variety of machinery, equipment, and tools associated with department activities, which may include a typewriter, copy machine, fax, SAP, Kronos, and other related automated work activity programs.
Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS. With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position.

MINIMUM TRAINING AND EXPERIENCE
High school diploma or GED; supplemented by up to three (3) years previous experience and/or training in an office environment, or three (3) years of experience in pupil transportation, or any equivalent combination of related education, training and/or experience which provides the required knowledge, skills and abilities to perform the essential job functions.

Physical Ability: Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or workstation.
Sensory Requirements: Some tasks require visual perception and discrimination. Some tasks require oral communications ability.
Environmental Factors: Tasks are regularly performed without exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, violence, disease, or pathogenic substances.
